Overview

The One Retail Coordinator of Clinic Support Services is an integral member of the support services team responsible for the daily operational needs of employees located in our 400+ clinics nationwide. The Coordinator works with professionalism and multi-tasking to support regional business growth with diversified administrative, project and liaison tasks as assigned

Responsibilities

Coordinate necessary employee time card transaction processing. Assist in onboarding new hires, time-tracking and PTO requests, and exiting transactions with corporate HR.

  • Communicate exceptions to employee time records to management. Provide reports as needed.
  • Serve as courteous point of contact for employees, prioritizing/channeling calls for further handling, messaging, and timely resolution of employee requests.
  • Interface regularly with all corporate functions, serving as a helpful resource between field locations and HQ corporate office team.
  • Coordinate closely with corporate Finance to monitor and approve invoices in Basware, the invoice processing system. Highlight, research and explain significant variances and suggest action steps when helpful or necessary
  • Create and maintain account information with external office supply and shipping partners.
  • Orient new employees with operational process as needed
  • Other projects as assigned.

Qualifications

High school diploma; related associates and/or administrative degree or business school certifications strongly preferred.

  • Minimum of 2 yrs. professional work experience, preferably in a supportive corporate front office role.
  • Experience in payroll, budgeting or account reconciliation extremely helpful.
  • Confidentiality, time-sensitivity, accuracy and follow-through continually expected.
  • Strong cost containment focus and some project management skills desired.
  • Professional verbal and written communication skills – phone, in person, for correspondence.
  • Ability to work independently, with ambition and bias for action, while also receiving and prioritizing support needs of a team.
  • Strong functional ability with Microsoft Office Suite programs (Outlook, Word, Excel, Powerpoint); familiarity with varied office intranet systems also a plus.
