Overview

E3 Diagnostics is a division of William Demant Holdings – a Danish-based company dedicated to hearing health worldwide. E3 is the US sales and service organization responsible for diagnostic equipment and related services. It operates out of its headquarters in Arlington Heights, Illinois along with 33 regional sales and service offices located in the major cities across the US.

 

The Operations Manager position is a key member of the E3 Leadership Team, along with Sales, Marketing, Service, IT, Finance/Accounting, HR and Training. This person will become the process expert and key contact for our 33 local offices for questions/issues related to all of their day-to-day operating processes – processes such as quote and requisition creation, customer invoicing, employee expense reports, orders to our suppliers, service scheduling, accounts receivable, accounts payable, and inventory/demo management. This position will also be responsible for working in conjunction with IT to monitor and manage our various operational business systems and processes, constantly working to ensure that all participants operate in a consistently-efficient manner.

Responsibilities

Essential Functions:

  • Manages day-to-day business operating processes at the Arlington Heights and 33 local offices.
  • Directly manages the Arlington Heights (AH) Admin and Supplies teams. The AH team is comprised of AR, AP, billing, Sales Coordinators, order processing, receiving/warehousing.
  • Indirectly manages (dotted line relationship) approximately 40 Administrators located in the 33 local offices identifying training needs, continuously monitoring our processes and implementing improvements.
  • Establishes key performance metrics in AH and local offices in order to monitor performance and identify improvement opportunities.
  • Working closely with IT, identify and implement system improvements in order to improve overall efficiency. Includes implementation of new ERP in 2018/9.
  • Ensures that all internal & external customers are provided with the best possible service.
  • Working with local offices, manage company AP, AR to goals.
  • Responsible for company inventory in all locations. Ensure proper process controls are in place, conduct physical inventory counts and reconciles results with inventory records.
  • Manage company fleet program.
  • Manages the properties, leases, physical space requirements of the organization and recommends plans to meet needs – both in AH and at the 33 local offices.
  • Designs, develops, implements and oversees the organization’s safety programs and procedures to safeguard employees and ensure that all facilities are in compliance with regulations.
  • Provides safety performance measures, investigates accidents, determines root cause analyses and promotes safety-conscious work performance and training programs.

Qualifications

Qualifications: Knowledge, Skill and Experience

  • At least 10 years of hands-on experience managing similar operational processes and teams.
  • Undergraduate degree in Operations Management or equivalent.
  • Strong working knowledge with ERP/inventory control systems.
  • Management experience required.
  • 20% travel required.

 

Physical & Visual Acuity Requirements

  • Light work. Exerting up to 50 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.
  • Raising objects from a lower to a higher position or moving objects horizontally from position-to-position. This factor is important if it occurs to a considerable degree and requires substantial use of upper extremities and back muscles.
  • Applying pressure to an object with the fingers and palm.
  • Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
  • Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations in sound.
